Your information

Privacy, plainly.

A little clarity about your details, your booking and your films.

When you get in touch, you're trusting me with a little of your story. This notice explains how I use that information across E-Motions Wedding Films and E-Motions Studio.

Updated 17 October 2026.

Who looks after your information?

I'm Harry Milsom, a sole trader trading as HJM CREATIONS, E-Motions Videography and E-Motions Studio. I am responsible for the personal information used to manage my enquiries and bookings. You can find my postal trading address on the business-details page. You can reach me at info@emotionsvideography.co.uk or 07843 875320.

What do I collect?

When we chat: your name, contact details, preferred way to talk, and the wedding or business plans you choose to share. That might include a date, venue, business name, brief or budget. Information can come through a form, email, phone or a messaging service you choose.

When you book: the agreed services, price, dates, relevant planning details and correspondence. Online wedding agreements also record each person's typed signature, the time it was given, the exact agreement version and separate publicity choices. I record whether an invoice was sent and whether I have checked that a payment arrived. Bank and card details are not collected by the booking page. I send invoices separately through Monzo.

When I film or photograph: images, voices, interviews, guest messages and the moments needed for your project. A partner, organiser or business client may give me relevant names, contact details or a filming brief. Please share only what is needed, let the people concerned know, and avoid putting sensitive personal information in an enquiry form. Ask me privately if a particular need affects the filming.

The hosting and communication services also handle technical information, such as an IP address, device information and delivery records. Required form fields are marked. Without the necessary contact and booking details, I may be unable to reply or provide the service; you can always contact me directly instead.

Why do I use it?

Enquiries and bookings: to answer you, prepare a quote, plan the work, make our agreement and deliver it. Where you are the customer, this is necessary to take steps you request before a contract or to perform it. For business contacts and people involved in a client's project, I rely on legitimate interests in communicating with the right people and producing the work, balanced against their privacy.

Filming and editing: to make the commissioned film or photographs. A client's contract does not itself cover every guest or interviewee. For incidental coverage, I assess legitimate interests in documenting the event or project and respect reasonable expectations and objections. Where consent is appropriate, I ask separately. For business productions made under a client's instructions, the brief and data arrangements determine our respective responsibilities.

Administration and security: to maintain reliable agreement and payment records, protect private access, and handle queries or disputes, using legitimate interests. Tax and accounting records are also kept to meet legal obligations. Publicity permission, where requested, is a separate consent choice. Making an enquiry does not subscribe you to marketing. I do not sell your details or make decisions about your booking using automated profiling.

Who can receive it?

Only the information needed for the job is shared with relevant service providers or people helping produce and deliver the work. These may include camera operators or editors, email and file-delivery providers, and professional advisers where needed. Confidentiality, appropriate access and data protection terms are part of arranging that work. Information may also be disclosed where the law requires it or where necessary to establish or defend a legal claim.

Wix provides this website's forms, stored booking records, hosted videos and automated emails, supported by its service providers. Monzo handles invoices and payments separately under its own privacy information. If you choose Instagram, WhatsApp or another messaging platform, that platform also processes the conversation under its own terms.

Some providers process information outside the UK. Wix describes its international processing and transfer safeguards in its privacy information and list of service providers. Depending on the destination, safeguards can include an applicable adequacy decision or approved contractual protections, including the UK provisions where required. Contact me if you'd like information about the safeguards relevant to your project.

How long do I keep it?

Enquiries that do not become bookings: normally 12 months from our last meaningful conversation. I then remove or anonymise what is no longer needed. An active discussion, complaint or other specific legal reason may justify keeping relevant details longer.

Booked-project paperwork: the agreement, signatures, essential correspondence and payment-confirmation records are normally kept for six years after the work ends, to deal with contractual questions or claims. Unnecessary planning details are removed earlier. Accounting records are kept for the applicable tax period, normally at least five years after the 31 January submission deadline for the relevant tax year. A dispute or legal requirement may extend retention of the relevant records.

Wedding footage: original camera and audio files are kept for five months after final delivery of all agreed films, unless a longer period has been agreed or a specific lawful reason requires it. Business source material normally follows the same five-month period after final delivery unless the project agreement says otherwise. For existing projects, I honour any retention period already agreed. Working and delivery copies are reviewed at that point too. A finished film selected for separately agreed publicity may be kept for that purpose while the permission and use remain appropriate.

Please download and back up your finished films. Delivery links are not a permanent archive. A private signed-agreement copy link normally expires after 30 days; that expiry does not delete the retained agreement. Message me if you need a fresh copy. Backups and provider-held records follow their applicable retention and removal processes; deleted material is not restored to everyday use.

Your film. Your choices.

Filming your day and sharing it publicly are different things. The wedding booking form offers separate, optional choices for website portfolio use and organic social posts. Neither is a condition of booking, and neither includes paid advertising. Each person's choice covers their own identifiable image and voice, not permission on behalf of every guest. Other identifiable contributors' permissions and privacy need consideration too.

You can withdraw optional consent by emailing or messaging me. That does not make earlier lawful use unlawful. I will stop the consent-based use and remove relevant material from channels I control where applicable; I cannot recall copies others have independently downloaded or shared. I may retain a minimal record of your choice so I can honour it.

You can object to processing based on legitimate interests. In particular, if you are a guest or contributor and have a concern about being filmed or shown, tell me before filming where possible, or contact me afterwards. I will consider your situation and explain what can be done.

Questions, corrections or requests

Depending on the circumstances, you can ask to access or correct your information, have it deleted, restrict its use, or receive a portable copy. These rights have limits, for example where records are still needed for a legal obligation or claim. I may need proportionate information to confirm who is asking. Email info@emotionsvideography.co.uk; I'll respond within the applicable legal timeframe, normally one month, and explain if a lawful extension is needed.

You can also raise a concern with the UK's Information Commissioner's Office at ico.org.uk/make-a-complaint or on 0303 123 1113. You do not need to contact me first.

Cookies, storage and watching films

Wix visitor authentication uses browser storage to support the forms and editable content. Private booking access uses a secure session cookie lasting up to one hour, refreshed when you use the booking page. It keeps your invitation available during that session. You can clear site storage in your browser, although doing so may mean reopening your invitation or a form.

Film thumbnails load as images. The video file loads when you choose to watch, using Wix's hosting services. The current site has no connected Google Analytics or advertising-pixel integration. External links open the relevant provider's service, with its own privacy information. If optional tracking is introduced, the notice and any required consent controls will be updated first.

This notice covers E-Motions enquiries and projects. A project-specific agreement may add relevant information, but does not remove your data protection rights. The date above changes when this notice is updated.
